Technical Department Administrator
JOB PURPOSE:
To provide a service to the Technical Team and ultimately to production colleagues by ensuring that all relevant paperwork, records are prepared and issued as required. Filing and archiving of factory paperwork. To manage the site customer complaint database and document control systems .To complete traceability exercises . To assist in other departmental activities as required.
KEY ACTIVITIES:
- Checking and collation of all production paperwork relating to intake, manufacture, curing, processing, cooking, cooling, storage, slicing, packing and despatch.
- Feeding back specific critical issues raised from paperwork checking to appropriate technical or production personnel as appropriate in a timely manner
· To update, amend and generate records for the factory in line with the appropriate procedures and to ensure that the document control system is maintained for records and procedures that are included within the site Quality Manual. This will include ensuring that the master database and document matrix are kept up to date
· Set up/amend Quor system users, training, create/amend products.
- Carrying out Traceability exercises as part of the schedule and on customer / auditor request using paperwork and internal systems (NAV, Cemex, etc..)
· To log all customer complaints received into the appropriate databases, generate and issue the investigation forms to the appropriate departments to ensure that investigations are completed within the agreed timescales. Close out of the complaints investigations.
- Following up all non-conformance issues arising from paperwork, with production personnel or via other technical personnel as appropriate.
- Logging testing sample details onto SGS system, pulling off shelf life results, processing hand swab fails, environmental/air plates retests and investigations.
- Updating brine and water sampling spreadsheets
- Provision of appropriate certificates of analysis/conformance to customers.
- Controlling Stock and Ordering Routine items. Checking and reconciling purchase orders with goods and services received/invoices for technical purchasing. Updating of Budget Tracker.
- Assisting in the development of all technical documentation as it relates to product development, specifications, procedures etc.
- Assisting in retrieval of information during internal and external audits and investigations.
- Assisting the technical department in other Quality Assurance issues as necessary.
· To be the minute keeper for technical meetings and ensure all actions are logged and closed out in a timely manner
- Liaison with external laboratories.
· To complete all customer and Board KPI reports with the correct and appropriate information at the required frequency on their appropriate systems.
- Covering of key tasks during the absence of key staff within the technical department
- To ensure ongoing nutritional verification is completed as per customer requirements and any out of spec results are investigated and reported
- Ensure customer site board is kept up to date
- To complete traceability required for Export, logging traces to P2D system, maintenance of the P2D system (adding new product, prepping vet attestations) investigating issues raised by export team
- To check deliveries of packaging versus master file
- To establish internal relationships with relevant departments, working closely with them in all aspects of the account
· To collect extra samples/swabs if required
- To provide a flexible resource to the Assistant Technical Manager and Technical Manager for any other reasonable duties.
- Liaise with Managers / Supervisors regarding any issues and report on a daily basis.
- Any other reasonable duties, as required by the business and directed by the Technical Manager or Assistant Technical Manager.
